This form is completed three times in each primary recruitment cycle:
- The first draft should include only the recruitment round information and does not need to include expenses (as they will not yet be known). This first draft will be due in the semester prior to primary recruitment.
- The second draft (submitted at the conclusion of recruitment preparation week) should include only the finalized recruitment round information, inclusive of all decorations a chapter plans to use. Information submitted in this draft will be used in chapter compliance checks during primary recruitment (so should be accurate).
- The final draft is submitted after primary recruitment and should only include expense information for each round of recruitment. This information is used to ensure each chapter is compliant with the budget cap outlined in recruitment rules.Â
Specific due dates for each of these drafts are outlined in annual recruitment rules.
Each chapter’s recruitment budget is limited to $2,000. This budget does not include the costs associated with bid day, the Recruitment Team fee, or money used to purchase PNMs snacks (in lieu of chapter’s providing food and drinks). This budget must include alumnae contributions, donated goods and services, as well as all items purchased exclusively for recruitment (this includes promotion items like paint and sheets for banners hung outside chapter facilities during recruitment). Previously owned items (e.g., those used for recruitment in previous years), as well as supplies for a philanthropy craft/project do not need to be included in the $2,000 budget cap.
All chapters must submit a round breakdown with a full description of each round, including conversation focus, planned activities/interactions, clothing, projects, and activities. The chapter must also include all food and beverages being served and all decoration that are not present in the facility regularly outside of recruitment. Remember, the items listed in this form will be used as a checklist during compliance checks prior to recruitment rounds. Anything that appears in the facility that does not appear on the list, will be asked to be removed by a member of the Recruitment Management Team.
Upon submission of this form, the Panhellenic Vice President of Recruitment may follow up to request changes to ensure each chapter is compliant with the Panhellenic Recruitment Rules. What is included in the form is also referenced during chapter compliance checks immediately preceding each round of recruitment.
